ENLIGHT STAFF TRAINING WEEK 2025
The ENLIGHT staff training week hosted at the University of the Basque Country aims at bringing together several administrative services and departments for their members to share best practices and facilitate peer-learning.
INTERDISCIPLINARY STAFF TRAINING WEEK

This event hopes to spark solid cooperative dynamics among the professionals of the ENLIGHT universities and enhance a sense of belonging.
This interdisciplinary staff training week will alternate plenary sessions for all participants designed to raise awareness of the ENLIGHT partner universities, with thematic meetings where more focussed content can be addressed. A social programme in Bilbao will also be available for participants, alongside opportunities for customized bilateral meetings in the aftermath.
The goal for this staff training week is to trigger subsequent iterations of the service-gatherings by establishing some kind of hosting institution rotation, in the hope that this event becomes a yearly tradition for the services participating.

21 October: Plenary sessions
- ENLIGHT alliance structure, vision and mission
- Focus on UPV/EHU (general and relevant services)

22 October: Service-day
The programme for this day includes separate strands, based on the themes and agendas designed by the hosting services. The details of the programme for this day will be clarified as applicants provide input on their proposed contribution. In general, this day is foreseen to include individual presentations and discussion dynamics on selected topics relevant to the theme determined by the hosting service.
23 October: Restitution and conclusions
The three services will get back together to provide plenary input on their findings and conclusions of the earlier sessions.
Discussion on what topics, dynamics and formats of staff weeks would best serve each service for a seamless collaboration across ENLIGHT.
Potential for further iterations (2026, 2027) of the 3 services´ staff weeks in different ENLIGHT institutions.

DIFFERENT SERVICES AND DIFFERENT PROFILES REQUESTED

International Relations. Digital platforms for mobility management
Candidates are requested to suggests a presentation related to topics such as: : design of the structure and integration plan, strengths and weaknesses of the digital management tool, lessons learnt of their experience, advice for institutions who have freshly started using these digital tools. Applicants should propose 1 topic for presentation, for the sessions to be diverse and balanced. The group is aimed at 20 ENLIGHT partners attending (2 per institution); applications from other European institutions will be accepted to the extend there is remaining seating available.
- PARTICIPANT PROFILES:
- Project manager/officers, who can share their experience on the planification, implementation and general management of the digital platform.
- IT technicians specialized in the integration of the different platforms and the transfer of data and information (enrolment, grading systems, nominations, payments, insurances…) between university tools and the digital mobility platform.
- Mobility officers and users of these platforms who can share their experience and how the use of these platforms has impacted the management of the mobility in their unit (advantages and disadvantages): IRO officers, Erasmus+ faculty coordinators, faculty staff related to mobility tasks…

Masters Services: from application to official enrolment
Participants will describe the administrative processes and Regional/National regulations applying at their institutions with regard to official Masters application and registration, with a special focus on international or non-European students´admission procedures. The goal of these sessions is to peer-learn about the admission stages and requirements at each institution and discuss how bureaucracy can be lowered, still ensuring a smooth and reliable management model. Particular focus is to be laid on earlier studies validation (from the legal and the administrative perspectives). Applicants should propose 1 topic for contribution during the sessions.
- PARTICIPANTS PROFILES:
- Master or postgraduate services management members: staff members who have decision-making capacity with regards to admission procedures or administrative processes managerial tasks
- Master offices admission staff members: applications management, enrolment services, earlier studies validation officers
- Legal officers involved in master offices who can provide feedback on National/Regional regulations applying and how these validation processes are carried out at their institutions.

Tech-transfer offices: valorization of university assets
Participants will discuss and share best practices in the , including patents, software, and other intellectual property. Discussions will focus on: Selection Procedures:How universities identify and prioritize assets for patenting and protection. Licensing Negotiations: approaches to negotiating licensing terms such as pricing, exclusivity, and royalty structures. Spin-off Participation: Defining the University's role and equity share in spin-off ventures based on institutional policies and long-term goals.
- PARTICIPANTS PROFILES
- Tech Transfer Technicians with experience or interest in improving practices around the evaluation and commercialization of university assets (e.g., patents, software).
- Market Brokers: Professionals skilled in negotiating licensing terms, setting asset prices, and dealing with investors in the technology commercialization space.
- Spin-off Specialists: Tech transfer professionals with hands-on experience in launching university-based spin-off companies and managing university equity participation.
